Request for Proposals: Social Media & Marketing Coordinator

Position Overview:

We are seeking an experienced and creative Social Media & Marketing Coordinator to join our team on a contract basis. The Social Media & Marketing Coordinator will play a key role in building & executing Storytelling Toronto’s social media strategies to promote our mission by engaging with audiences and enhancing our organizations digital presence. 

This role is ideal for someone with a love for storytelling, a strong understanding of digital trends, content creation, and analytics, who is comfortable working independently and collaboratively, while delivering results on time. We are open to proposals from candidates who can demonstrate their expertise and creativity in managing social media accounts for nonprofit organizations and/or art organizations.

Responsibilities

  • Develop and implement a social media strategy aligned with ST’s goals and brand values  
  • Create and schedule engaging content across various platforms (Facebook, Instagram, X/Twitter, LinkedIn, TikTok, etc.)
  • Analyze and report on social media performance, providing insights and recommendations  
  • Collaborate with other team members to ensure cohesive brand messaging across all channels  
  • Manage paid social media campaigns and optimize for engagement and conversions
  • Work with ST staff to identify gaps in our outreach strategies and propose initiatives to address them
  • Reach out to print, broadcast and online media and coordinate incoming media requests and interview opportunities
  • Attend STT planning or update meetings as needed
  • Respond and engage with followers, comments, and messages in a timely and professional manner

Qualifications:

  • Proven experience managing social media accounts for arts non-profits or organizations with a similar scope and mandate
  • Completion of a university degree with Business, Marketing or Public Relations focus and/or equivalent experience  
  • Experience with content creation (copywriting, graphics, video) or working with designers and content creators  
  • Proficiency in analytics tools (Google Analytics, Facebook Insights, etc.)
  • Experience with digital marketing and social media software such as Canva, CapCut, SocialPilot (or similar software) is considered a major asset
  • Photography and videography is a major asset
  • Strong communication and organizational skills  
  • Ability to work independently, meet deadlines, and manage multiple projects simultaneously

Job Opportunity: Financial Administrator

Position: Financial Administrator

Reports To: Executive Director

Hours: 28 hours per month (Part-time contract)
Compensation: $18, 000 annually

The Financial Administrator will be responsible for generating financial reports, maintaining financial records, and formulating financial policies for Storytelling Toronto. This position’s responsibilities include working closely with the Executive Director and the Board Treasurer to support the financial health of the organization. 

The ideal Financial Administrator is well-versed in accounting and financial practices and regulations, and has excellent computer, communication, and organizational skills. This position requires an individual who is detail oriented and analytical in order to succeed.

 

Responsibilities include:

  • Keep financial records and establish, maintain, and balance various accounts using QuickBooks Online
  • Complete and submit tax remittance forms, worker’s compensation forms, and all other government documents and receivables (including cash flow monitoring and forecasting)
  • Compliance reporting (i.e. GST remittances, T3010 and other information returns as needed)
  • Payroll (including source deduction remittances, year end reporting, T4/T4 Summary preparation, and reporting.
  • Month end procedures, including full balance sheet reconciliation
  • Financial reports, budgets and variance analysis, and preparation of the financials section of the Board package.
  • Prepare tax returns
  • Work with external auditors to assist them with the audit and the preparation of the audited financial statements.
  • Keep up to date on current financial and accounting legislation
  • Ensure compliance with all accounting and financial regulations at the company, local, provincial, and federal levels

Qualifications

  • BSc/BA in Accounting, Finance or relevant field; MSc/MBA is an asset
  • CPA is an asset
  • 5-10+ years of experience as a bookkeeper required
  • Advanced proficiency in accounting software, such as QuickBooks Online (QBO) and SparkPay 
  • Solid understanding of corporate finance and data analysis
  • Knowledge required for general financial reports
  • Proficiency with Google Workspace (including Google Drive, Google Docs and Google Sheets) 
  • Knowledge of GAAP is essential

Position Overview

We are seeking an Executive Director to join our team. The Executive Director at Storytelling Toronto (STT) is a pivotal leadership role responsible for overseeing the organization’s overall operations, financial management, fundraising efforts, and strategic direction. This dynamic position requires a visionary leader with a strong background in nonprofit management, arts administration, and financial stewardship.

Key Responsibilities

Financial

• Enter and use CADAC and other financial applications that are required by the funders to create STT financial and statistical reports. 
• Collaborate with the Board Treasurer to create an annual budget, perform monthly and quarterly budget reviews, and periodic forecast updates. 
• Have monthly meetings with the STT Financial Administrator regarding finances and report the findings to the Board within no more than three working days. 
• Report to the STT Board on no less than a monthly basis on timelines related to STT expenditures and funding applications. 

Grants, Fundraising and Membership

• Complete and pursue grant applications for Toronto Arts Council, Ontario Arts Council, Canadian Heritage, Canada Council for the Arts, and any other grant/funder possibilities. 
• Adhere to the conditions noted in the funding applications. 
• Identify and facilitate fundraising opportunities and initiatives. 
• Participate in fundraising activities as needed. 
• In those cases in which members of the Board of Directors are not available to represent the organization at STT festivals, the Executive Director will be available in the role of representative. 

Operational/Organizational

• Provide leadership and have the abilities to work collaboratively within the principles of transparency, inclusivity,, diversity, and equity and involve diverse artists in the decision-making process, and includes artists from equity-seeking groups. 
• Work in collaboration with the STT Board to uphold the mandate of the organization to uphold and sustain the art of oral storytelling.
• Attend STT Board meetings at least on a monthly basis and with the board liaison person assigned once a week. 
• Be responsible for planning, organization, and direction of the Employer’s operations and programs and complete records/reports required in a timely manner. 
• To  be present and report to the members of the STT quarterly members’ meetings. 
• Ensure that STT public relations and social media reaches out to a diverse population and provides the means for that population to participate in STT events or become new members. 
• Participate in the development of short- and long-term planning strategy with the Board. 
• Ensure that strategic goals and objectives are adhered to. 
• Maintain and manager relationship with the Employer’s organizational partners.
• Manage and provide support to STT staff as well as any other STT hires (employee or contracts).

Through their work, the Bilingual Project Manager will review and validate the Final Project Report and Guidelines co-created in 2023 by Storytelling Toronto as part of the “Professional Standards for Canadian Storytellers Project” (PSCSP). This project was funded by a grant from the Canada Council of the Arts. The Project Manager’s responsibilities include:

  • To review and validate the original Final Report and Guidelines with the original group of participants and with the participation of new storytellers to enhance the group’s diversity in terms of culture, location, and language.

  • To facilitate workshops with the original group of participants—storytellers from across Canada listed in the reports—to validate and enrich the Final Report and Guidelines.

  • To facilitate workshops with new participants to ensure the scope of the project includes Anglophone, Francophone and Indigenous tellers and other storytellers from historically excluded communities from across the country.

  • To take pictures and recordings of the workshops.

  • To conduct and analyze data from new surveys targeting storytellers to validate and enrich the reports.

  • To adhere to all conditions noted in the grant applications of the funders.    

  • To ensure that the Professional Standards for Canadian Storytellers Project final document offers clear recommendations for the future development of professional standards for Canadian storytellers.

  • To provide a revised final report that includes the Final Report and Guidelines in both official languages, English and French, and in accessible formats.

Position Overview

We are seeking a Festival Administrator to join our team and support in the planning for “Many Voices Tell A Story” Festival running June 13–16, 2024. The Festival Administrator will play an important role in supporting the festival planning team in the smooth execution of all festival activities.

Term: 3-month contract

Key Responsibilities:

• Oversee logistics including venue bookings, equipment rentals, and scheduling of the festival.
• Collaborate with partner organizations and stakeholders to plan and implement festival events.
• Manage and produce budgets and contracts required for the festival artists as well as complete the reports (funders and financial administrator reports, a summary of data collection from evaluations of each event) of the funders up to three weeks after the festival has concluded and submit reports to the STT Board of Directors for review.
• Take pictures and recordings of all festival events.
• Adhere to all conditions noted in the grant applications of the funders.
• Ensure that those who have prolonged engagement as volunteers and paid staff and are involved with the festival have completed all mandatory courses before they provide services. The courses are Accessibility Training, Occupational Health and Safety, and Workplace Violence and Harassment as well as an additional WHMIS course, as needed for certain individuals.
• Ensure that all material received by the tellers adheres to copyright, plagiarism, and intellectual property laws as well as storage of document/recording legislation.
• Work with the STT Board of Directors, staff, and Volunteer Festival Directors Team to promote the Festival to equity priority communities/neighbourhoods/groups.
• Work under the supervision and in collaboration with the Volunteer Festival Directors Team and the STT Board.
• Be available in-person for specifically outlined periods during the contract.

Project Overview:

In memory of former Storytelling Toronto Board Member Carol Farkas, Storytelling Toronto is looking for storytellers for the Carol Farkas Project.

The Carol Farkas Project consists of 5 up to one-hour curated storytelling events in equity-priority neighbourhoods, communities and or groups (i.e. for those who are deaf, physically/mentally diverse, BIPOC, 2SLGBTQIAP and/or economically challenged) prior to May 13, 2024.

Each event will last up to one hour, and will include:

• A land acknowledgement
• A short bio of Carol Farkas
• About 10 to 15 minutes of the programme must inform the listeners how to engage in storytelling – i.e. story swaps, story circles, where courses are, etc.
• Two relatable stories from storytellers: One of the tellers must be an experienced storyteller, and the other must be emerging. At least one of the tellers must be a member of Storytelling Toronto. (To become a member, click here!)

Venues:

Events will be held in venues listed in a government directory. Written confirmation from the venue that the event can occur must be submitted with the application, and the storytellers must choose the venues. 

The venues must provide at least ten listeners from the equity priority neighbourhood, community, and/or groups. The venue will not be charged for the event and will give the storytelling space at no cost.

Other Information:

Storytelling Toronto will send each teller a letter acknowledging their contribution.

The funder of the Carol Farkas Project may be present at the events.

During the event, the listeners will complete an evaluation of the event, which Storytelling Toronto will provide you.

Three HR 50 – 60-minute mandatory courses must be completed within one week of application approval. The courses relate to accessibility, workplace violence and harassment, and occupational health and safety. If you already have training in these areas, please include it in your application.

Payment:

A $300 fee will be offered for each event, to be divided among the two storytellers. Payment will be sent within three weeks after each event occurs.

Position Overview

The Operations Coordinator’s main responsibilities include running the office, supporting programming, and supporting members.

Qualifications and Experience

The ideal candidate has a background in the Arts & Culture sector or another relevant field. Preference for candidates with administration/operations management experience. Preference for candidates with experience working with non-profit organizations, artists, and arts organizations. Must demonstrate working knowledge of digital content creation (Canva, Google Workspace, MailChimp, Online Ticketing Platforms), including web content (WordPress CMS) and social media platforms (Instagram, Facebook). Proven leadership skills, including ability to work independently and manage own tasks and timelines. Strong communication and interpersonal skills with ability to support a wide variety of internal and external stakeholders.

Job Description, including Role Specifics

The Operations Coordinator is responsible for the running of the office, and supporting the organization’s programming, while working closely with the Board of Storytelling Toronto, the Executive Director, and remotely with the Financial Coordinator. The Office Coordinator also works with the Board of Storytelling Toronto and the Executive Director to create documentation, including for the Annual General Meeting, as well as marketing materials to promote Storytelling Toronto and its programs.

The Operations Coordinator is also responsible for assembling and delivering Pip!, a Mailchimp e-newsletter to all subscribers twice monthly, as well as regular maintenance and updates to the website; depending on the time of year, both of these tasks can be time consuming.

The Operations Coordinator is also responsible for liaising with members and responding to inquiries from the public. The Operations Coordinator is the first point of contact, and, to a degree, the face of the organization.

All copy sent into the Operations Coordinator for reproduction, in addition to any copy prepared by the Operations Coordinator, must be edited and proofread before being disseminated to the public.

Office Duties

•  First point of contact via email and phone to members and non-members
•  Maintain correspondence via email, following up with messages promptly
•  Support office staff and program leaders with documents, promotional materials
•  Manage supply cabinet inventory, keep office organized and neat, ensure the spare key is always put back in the lock-box

Board/Organizational Support

•  Coordinate and provide documentation for the Annual General Meeting

Program/Member Support

•  Maintain donor, membership, and course participant records; work closely with Financial Coordinator to ensure accurate records
•  Prepare the annual programming brochure with designer; carry out annual direct mail campaign to both members and general mailing lists
•  Communicate calls for storytellers and other professional opportunities to members
•  Create and maintain pages for programming/special events
•  Along with Social Media Coordinator, promote courses and events through social media; create copy

Position Overview

The Operations Coordinator’s main responsibilities include running the office, supporting programming, and supporting members.

Qualifications and Experience

The ideal candidate has a background in the Arts & Culture sector or another relevant field. Preference for candidates with administration/operations management experience. Preference for candidates with experience working with non-profit organizations, artists, and arts organizations. Must demonstrate working knowledge of digital content creation (Canva, Google Workspace, MailChimp, Online Ticketing Platforms), including web content (WordPress CMS) and social media platforms (Instagram, Facebook). Proven leadership skills, including ability to work independently and manage own tasks and timelines. Strong communication and interpersonal skills with ability to support a wide variety of internal and external stakeholders.

Job Description, including Role Specifics

The Operations Coordinator is responsible for the running of the office, and supporting the organization’s programming, while working closely with the Board of Storytelling Toronto, the Executive Director, and remotely with the Financial Coordinator. The Office Coordinator also works with the Board of Storytelling Toronto and the Executive Director to create documentation, including for the Annual General Meeting, as well as marketing materials to promote Storytelling Toronto and its programs.

The Operations Coordinator is also responsible for assembling and delivering Pip!, a Mailchimp e-newsletter to all subscribers twice monthly, as well as regular maintenance and updates to the website; depending on the time of year, both of these tasks can be time consuming.

The Operations Coordinator is also responsible for liaising with members and responding to inquiries from the public. The Operations Coordinator is the first point of contact, and, to a degree, the face of the organization.

All copy sent into the Operations Coordinator for reproduction, in addition to any copy prepared by the Operations Coordinator, must be edited and proofread before being disseminated to the public.

Office Duties

•  First point of contact via email and phone to members and non-members
•  Maintain correspondence via email, following up with messages promptly
•  Support office staff and program leaders with documents, promotional materials
•  Manage supply cabinet inventory, keep office organized and neat, ensure the spare key is always put back in the lock-box

Board/Organizational Support

•  Coordinate and provide documentation for the Annual General Meeting

Program/Member Support

•  Maintain donor, membership, and course participant records; work closely with Financial Coordinator to ensure accurate records
•  Prepare the annual programming brochure with designer; carry out annual direct mail campaign to both members and general mailing lists
•  Communicate calls for storytellers and other professional opportunities to members
•  Create and maintain pages for programming/special events
•  Along with Social Media Coordinator, promote courses and events through social media; create copy

Website

•  Maintain the Word Press ADOA website regularly, with updates to programming and events.

Job Opportunity: Festival Producer

Position Title: Festival Producer

Reports to: Executive Director

Type of Employment: Part-time contract, 6 months (January 13th-June 28th)

Compensation: $14,000

This is a hybrid role with opportunities to work from the Storytelling Toronto office, and other locations within the Greater Toronto Area as needed. The successful candidate will commute for off-site operations including community programs, meetings and other business.


Position Overview

We are seeking a dynamic, collaborative and imaginative Festival Producer, eager and self-motivated to lead in the planning, execution, and oversight of diverse and multidisciplinary programming for Toronto’s International Storytelling Festival in June 2025. The Festival Producer will play an important role in supporting the festival planning team in the smooth execution of all festival activities.

 

Responsibilities will include:

  • Create the Festival schedule alongside the Storytelling Toronto staff & Curators
  • Support Festival planning including brainstorming ideas, researching artists and groups while keeping track of deliverables 
  • Oversee logistics including Festival budget, venue bookings, equipment, rentals, and artist contracts
  • Collaborate with partner organizations and stakeholders to plan an implement festival events
  • Work with the volunteer coordinator and Storytelling Toronto staff
  • Attend meetings for events, concerts and other Festival related activities and record minutes as required
  • Be on site during Festival events to supervise and evaluate the success of the concert/event
  • Ensure that all content and material received from the storytellers adhere to copyright, plagiarism, and intellectual property laws as well as a storage of documents/recording legislation
  • Produce a Festival evaluation report including a summary of data collected from evaluations of all Festival events

 

Requirements:

  • 2-5 years experience as a producer or project manager
  • Experience supporting large scale and/or complex projects in the arts culture sector
  • Excellent verbal and written English communication skills 
  • Strong attention to detail and organizational/time management skills
  • Ability to work both independently and collaboratively amongst the team
  • Superior skills in Google Apps (Drive, Docs, Sheets, etc.) and familiarity with Slack and Asana
